Please take a look at the Ministry of Foreign Affairs' Guide to Japanese Visas to make sure whether you require a Visa to enter Japan.
To obtain an entry VISA to Japan for the purpose of attending the 10th CUEE (Tokyo, March 1-2, 2013), please furnish us with all information required for completing VISA documentation by the Japanese Embassy in your country of residence. Kindly do this as soon as possible after submitting your full Conference Paper to CUEE. Below are the details we must have in order to issue a “Letter of Invitation” and/or a “Letter of Guarantee and Reason for Invitation” for the Conference.
If you require a “Letter of Invitation”* only, you need only submit Items 1- 8:
- In case you require a Japanese-language “Letter of Invitation", please let us know. (Otherwise, the English-language version will be issued.)
- Your Conference Paper ID-number
- Your Full Name in Roman letters (and also in Chinese characters, if applicable)
- Full name of your current Institutional Affiliation
- Full business address of your Institutional Affiliation
- Only in case you need the original “Letter of Invitation”, the address at which you wish to receive it (if different from above)
- The complete title of the paper you will present at the Conference
- Your affiliated Job Title
*Please note that we are unable to process a "Letter of Invitation" until your conference registration has been paid in full and confirmed by us.
In addition, if you also require a “Letter of Guarantee and Reason for Invitation”, please continue with the following items:
- The location of the Japanese embassy, or consulate, where you intend to request a VISA and submit the required supporting documentation (Ex., Consulate General of Japan in San Francisco)
- Your Nationality
- Your Date of Birth (month/ day/ year) and current age
- Your sex (M/F)
- A detailed itinerary: including your arrival and departure dates, as well as the name and telephone number of your hotel(s) in Japan, generated by completing the Excel file (scheduleVISA.xls) to indicate the individual booking you have obtained.
*Please modify and complete this form and upload online from the Visa applcation page (to be open in December).
- In case you need your itinerary written in Japanese instead of English as per request from the Embassy/Consulate of Japan in your country, please inform us via email as early as possible. For specific and updated instructions, you should consult Consular Services (Embassy or Consulate of Japan or its website) in your country of residence.
Please note that the following are essential to obtain a “Letter of Guarantee”:
- Please complete Registration and Payment including a Hotel Reservation via our homepage. If you reserve your accommodation other than through our office, please send us a copy of the confirmation of your hotel booking. We are unable to process a "Letter of Guarantee and Reason for Invitation" until your conference registration has been paid in full and confirmed by us.
- Please submit a document stating the aim(s) of your participation in the Conference as well as the budget for your travel to Japan and accommodation, preferably written by your Supervisor/ Senior Colleague, such as Department Head. Please send it to CUEE Office <office@cuee.titech.ac.jp>, as a PDF-file. We can issue a "Letter of Guarantee" for your stay in Japan only for the duration of the actual conference period. We are unable to guarantee any proposed extension beyond the specified "arrival-conference-departure" fixed dates. (These may vary slightly depending on airport of embarkation.)
- Please send us the receipt/copy of your Airline Ticket(s), including date and time of arrival in, as well as departure from, Japan.
